From Overwhelm to Organised: A Client Success Story

There’s a point in every growing business where “busy” tips into “overwhelmed.”

The diary is chaos. Paperwork needs organising. Meetings are happening… but without clear agendas. Emails are mentally noted but need action.



This is the story of how one lovely client moved from constantly firefighting to feeling calmer, clearer and more organised simply by putting the right support in place.


She wasn’t disorganised. She was simply at capacity like many ambitious female founders. And this is something I see often when supporting women-led businesses: she is incredible at what she does but was stuck in the admin rabbit hole!


The Starting Point

When we first spoke, Jo was feeling overwhelmed and knew she needed some support but was unsure what she could hand over and how to manage this.


Her challenges:

  • A paper diary which wasn't always to hand and had to have online meetings written in rather than being automatically added.

  • Podcast paperwork backlog

  • Emails backing up

  • Constant context switching

  • Evening and weekend admin catch-up sessions


Taking Control of the Diary

We started with the foundation: diary management.

Her calendar wasn’t chaotic it just needed to be online. So we:

  • set up an online calendar

  • synced the calendar to her online booking system

  • added all the pre booked meetings


The result? She could see her week clearly whether at her desk or out and about.

No more surprises.

Her diary began working for her instead of against her.


Streamlining Podcast Management

Next up: the podcast.

What had previously been a causing her a headache was keeping track so we started ​a system to keep on top of everything

I created a spreadsheet showing the workflow so that ​I know who has completed paperwork, who is booked in and then reminders ​can be sen​t out ​ as required and also guest prep documents​.


Instead of wondering “Have they sent their bio?” or “Did we confirm that date?” everything can be checked easily.

Most importantly, my client can now focus on what she does best, having great conversations, rather than coordinating logistics.


Email Management

Then to the inbox!

Email is often the silent stressor. Even when you’re not looking at it, it sits in the back of your mind.

I introduced email management support, including:

  • Regular check ins to assess what needs to be actioned

  • Keeping the inbox clear by filing emails when actioned

  • Clearing junk emails

  • Flagging priority messages

  • Template responses for common enquiries


Instead of scanning every email herself, she now reviews what truly needs her voice.

Her inbox has become organised, searchable and calm rather than overwhelming.


Support with email management isn’t just about efficiency. It’s about freeing up headspace.


Social Media Graphic Creation

Visibility matters, particularly for women growing personal brands.

But designing social media graphics can become tiresome and time consuming

The templates were already created so now each month I create a set ready to go and all that is needed is the post copy - the part she loves doing and is also amazing at!!!


Instead of scrambling for visuals, she now has aligned, on-brand graphics ready to go.


It has been amazing to watch the transformation

Going from overwhelm to organised, ending days knowing that you still haven't

done something to becoming more organised and clam.
